  • As consequence of the postponement of the EGS congress caused by the spread of the COVID-19, in case a delegate already registered will not be able to attend the congress in the new dates, the paid registration will be refunded (deducted € 30,00 for administrative expenses) if required within next 30 June 2020.
  • Cancellation requests for Covid-19, received from 1 July to 31 August, will be granted a credit voucher equivalent to the amount paid, which can be used to participate in upcoming EGS Events.
  • After these deadlines and for any new registration, cancellation will be subject to the policy indicated hereafter.

How To Register

Please note that this is the official EGS website for registrations and that no other websites, companies or agencies are authorised to sell the registrations/ hotel booking in any way or to contact you directly.

Advance registrations are preferred in order to facilitate planning of the scientific sessions and social events of the congress. On site registration is strongly discouraged and availability for social events might not be guaranteed.

Off-line registrations and requests of pro-forma/ invoices sent by fax or mail are subject to an additional € 30,00 for administration expenses.

* Application for the resident fee should be certified by a letter from the head of the department to be up-loaded in the on-line platform directly (pdf format is required), stating that the applicant is an ophthalmology resident at the time of registration.

^ Application for special financial assistance must be made through the following link https://www.eugs.org/eng/congress_travel.asp , no later than 12 June 2020.

Pre-registration will be accepted until 4 December 2020.
After this date, only on-site registrations will be accepted

Registration is mandatory for all oral and posters presenters

Instructional Courses are free of charge for participants registered in the Congress. Pre-registration is not required but attendance will be possible while seats are available.

Conference registration fees (delegate, resident in training and COT) includes:

  • Admission to all sessions and courses
  • Congress kit and personal badge
  • Final programme and abstract book online
  • Certificate of attendance
  • CME kit
  • Coffee during breaks from 14 to 16 December
  • Lunch boxes from 14 to 16 December
  • Welcome Reception on 14 December and Farewell Reception on 16 December
  • Admission to the technical exhibition

Registration fee for exhibitors includes:

  • Congress kit and personal badge
  • Admission to the technical exhibition
  • Admission to scientific sessions (Courses excluded)

VISA Information

For some nationalities, a Visa is required in order to enter in Belgium. Foreign participants should contact the Embassy or Consulate in their home country to determine their particular Visa requirements.

Participants requiring Visas should initiate the application process at least 3 months prior to their departure date.

The Organising Secretariat OIC is not able assist participants with their Visa application and cannot intervene with Embassies or Consulates on behalf of any participant.

Letter of Invitation (for Visa Application)

To request a visa invitation letter please send an e-mail to OIC at registrationEGS@oic.it

Only participants fully registered in the conference can obtain a personal invitation letter and only once the full payment of the registration fee is received.

Relevant expenses for hardcopy of the invitation letter sent by express courier must be paid in advance.

Important notice: visa invitation letter only aims to assist participants who need to obtain a visa or permission to attend the Congress and it is not a commitment from the organizers to cover any kind of expenses or to provide any financial support. All expenses incurred in relation to the conference remain the sole responsibility of the participant.

GROUP REGISTRATIONS

  • Group registration is possible for companies or travel agencies wishing to register more than 3 delegates.
  • A personal postal address (home or business) and email address for each delegate must be provided. Registrations made with an invalid postal address (agency or general) will not be accepted.
  • Valid information (personal postal and email addresses ) is not only important to receive EGS relevant information and updates, but also to obtain the personal CME Credits after the congress

Submission Form Name list

Early registrations will be accepted until 31 August, 2020, midnight CET. Should your registration remain unpaid till 31 August, early fee will be upgraded to the regular registration fee From 1 September to 13 November 2020 the regular fees apply for every new registration. Should your registrations remain unpaid till 13 November 2020, regular fees will be upgraded to the late registration fee From 14 November, 2020 and on site, late registration fee applies for registrations not paid in full at the previous dead-line and for every new registration

Core registrations can be accepted without name list until 13 November, 2020 if paid in full, according to the published registration deadlines. After the set indicated deadline the complete name list is required. The name list must be sent as an attachment by e-mail only (fax is not accepted).

Collective pick-up (by a representative of your company/travel agency) The opportunity of picking up your delegates' congress documents prior the official opening will be offered in order to facilitate the pre-registration procedure. We strongly suggest you to contact the OIC srl Registration Department 3-4 weeks before the congress and schedule an appointment accordingly. If no appointment has been made only individual pick-up (by the delegate) will be possible at the pre-registration desk after the official opening of the congress. However, the group pick-up will be allowed only to companies/agencies who have sent the complete mandatory data for each participant.

Payment by Credit card: The following credit cards are accepted: American Express, VISA, MasterCard.

We would like to inform you that as of 14 September 2019, the SCA (STRONG CUSTOMER AUTHENTICATION) came into effect, in accordance with the provisions of the European Directive on payment services (PSD2).

Invoices

Invoices with an address in the European Union should be provided with a VAT Number. The invoicing address and VAT number can only be set up during the registration process. Should you have any special requests for the processing of your invoice, kindly let us know when submitting your application.

  • Off-line registrations and requests of pro-forma invoices sent by fax or mail are subject to an additional € 30,00 administration charge
  • Any modification on VAT number or billing address, requested after the issuing of the invoice incurs a € 30,00 administration charge.

Cancellation and Refunds

  • Any change or cancellation in connection with registration fees and social events must be made in writing to O.I.C. srl, Fax +39 055 5035230, E-mail: registrationEGS@oic.it.
  • For cancellations received by 13 November 2020 the paid amount will be refunded with a deduction of 70% that will be invoiced as penalty.
  • No refund will be processed for cancellations received after 13 November 2020.
  • Anyone unable to attend the congress for whatever reason after paying, and/or unable to transfer the registration fee to another person, must cancel his/her registration
  • The registration fee will be refunded if the request is received prior the above cancellation deadline dates
  • If you are unable to attend the Congress because you were denied a visa, you will be granted a refund only if you submit a copy of your visa rejection letter
  • Please note that no refunds will be issued for additional fees paid for express shipping of invitation letters

Should a delegate not attend the congress, for whatever reasons, no further claims for reimbursement can be made. All delegates are urged to take personal travel insurance.

  • Name changes incur a handling fee of € 39 per registration.
  • Name changes in consequence of replacements due to covid-19 will be accepted without any additional fee.

Liability disclaimer

In the event of serious special or unforeseen circumstances or serious circumstances beyond its control, OIC shall be entitled to cancel or modify the dates of the event. You shall not be entitled to compensation for any costs or damages incurred as a consequence of such a cancellation or change.

OIC will not be liable for any theft or damage to property and/or persons caused on site during the Congress, by any factor whatever, unless there has been a fault, intent or deliberate recklessness on the part of OIC.

OIC shall not be held responsible in the event of poisoning or food intoxication during the Event.
